Data retention policy

Potential Energy Labs retains information for as long as the company has a continued need for it or where legal or regulatory requirements apply. Once data is no longer required, it should be either disposed of or archived. While disposal is the preferred outcome for data that is no longer required, archival is an option for business units who believe there may be some uncertainty regarding future requirements for aged data. Data owners are responsible for determining the appropriate retention period(s) for their data and working with the IT Department to ensure that it is aged in accordance with any appropriate regulations or other requirements. Unless notified of special retention requirements for information by the data owner, the Potential Energy Labs IT Department will apply default retention periods and disposal requirements on all company data, based on its classification under this policy. Business units should carefully consider the costs and legal risks associated with data retention vs. archival or data destruction when establishing retention standards for their data. Retention periods for all data classified below Sensitive are intended to provide guidance to business units and IT in the storage of Potential Energy Labs data; defined retention periods will only be proactively enforced for Potential Energy Labs Sensitive information. Data owners must notify the IT Department of retention requirements for their data, including approval from their business unit’s executive management for any extended (greater than 10 year) retention requirements. Exceptions are subject to periodic reviews in partnership between the IT Department and data owners. Different classes of information require varying levels of protection and procedures for data handling. The individual requirements for the handling and protection of data depend on the needs identified by the owner of the data; in the absence of defined requirements, Potential Energy Labs normal standards and practices for data handling and protection apply, and are determined according to the class of data in question. If personnel are unclear as to the handling and protection requirements for a given type of data, they should consult with the data owner and the CTO or COO. Sensitive Data Potential Energy Labs Sensitive data is data that has been identified as highly critical and requiring the highest level of protection. As such, personnel are expected to exercise extreme care when handling Potential Energy Labs Sensitive data. Data owners of Potential Energy Labs Sensitive data are permitted to specify data protection and handling mandates for their data; otherwise, Potential Energy Labs Confidential data is subject to the following specific requirements for proper protection and handling: Potential Energy Labs Sensitive data stored on company computing resources must not allow for any unauthenticated or anonymous access; all access to Potential Energy Labs Sensitive data must require a username and password in order to be granted access permission. Sharing of Potential Energy Labs Sensitive data within the company should only be done with management approval. Any transfer of Potential Energy Labs Sensitive data outside the company must be in accordance with a standing legal contract or arrangement, or must be accompanied by written approval from the data owner or Potential Energy Labs Counsel. File cabinets storing paper records containing Potential Energy Labs Sensitive data should be kept locked at all times. Confidential Data Potential Energy Labs Confidential data is data that has been identified as crucial to the company’s continued operations. As such, personnel are expected to exercise an appropriate level of care when handling Potential Energy Labs Confidential data.
